Privacy policy

General

This policy explains how we process personal data on profi-hand.eu (in every language) and when you call us, write to us in messengers or apply through our ads on Facebook and Instagram. We follow the GDPR (RODO) and Polish law.

What data we collect

  • From a vacancy application, the call-back form and the job finder: name, phone, email (if given), city, the chosen vacancy.
  • From the news subscription: email, language and topic.
  • From the review form: name, phone, email (if given), rating and the review text.
  • From the application form in our Facebook and Instagram ads: name, phone and your answers to the form's questions (for example, when you can start, whether you have documents to work legally, driving licence).
  • From calls and messengers: your number, messages, the recording of the phone call, its short summary and the recruiter's notes.
  • Automatically: IP address, device and browser type, pages you opened, where you came from, cookies.

Why, and on what legal basis

  • Finding you a vacancy, calling you back and answering questions, preparing employment: steps we take at your request before a contract (Art. 6(1)(b) GDPR).
  • Sending news and publishing a review: your consent (Art. 6(1)(a)), which you can withdraw at any time.
  • Recording phone calls: so we remember exactly what we agreed with you and can check the quality of our recruiters' work. This is our legitimate interest (Art. 6(1)(f)).
  • Site statistics and advertising: your consent to cookies (Art. 6(1)(a)).
  • Legal obligations and defending claims: Art. 6(1)(c) and (f).

Who receives the data

Only what is needed, and only those who help us work, under a contract with us: the provider of the CRM system the controller uses, hosting and the website platform, the telephony provider, and the advertising platforms Google and Meta (after you consent to cookies). The employer you go to work for, after you choose a vacancy. Public authorities, only when the law requires it. If you write to us in WhatsApp, Telegram or Viber yourself, those services process data under their own rules.

Transfers outside the EU

Some providers, such as Google and Meta, may process data outside the EU, including in the USA. Such transfers rely on the European Commission's decision (EU-US Data Privacy Framework) or the EU standard contractual clauses.

How long we keep data

As long as needed to find you a job, and as long as the law requires. You can ask us to delete your data earlier at any time. Subscriptions are kept until you unsubscribe.

Your rights

You can find out what data we hold about you, get a copy, correct or delete it, restrict processing, take your data in a portable format, object to processing, and withdraw consent at any time. Write to biuro@profi-hand.com; we reply within a month. You may also complain to the Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warszawa.

Joining the Profi Hand team

If you send an application for a job at Profi Hand itself, we use your data (name, phone, email, languages, link to your CV or profile, your answer in the form) only for selection for the position you chose, and delete it when the selection ends. We keep your application for up to 12 months for other vacancies at Profi Hand only if you ticked that consent; you can withdraw it at any time by writing to biuro@profi-hand.com. An AI assistant helps with screening; decisions to invite or hire are made by a person.

Security and changes

The site uses a secure connection (HTTPS), and only staff who need the data for their work can access it. If anything changes, we will update this page.

Purpose and legal basis

Finding you a job, recruitment and contacting you about your application: steps we take at your request before a contract (Art. 6(1)(b) GDPR). Phone calls are recorded so we remember exactly what was agreed (Art. 6(1)(f)). Also the employment agency's legal obligations (Art. 6(1)(c)) and defending claims (Art. 6(1)(f)).

Source of the data

You yourself: a form on the site, the application form in our Facebook or Instagram ads, a phone call or a messenger message.

Recipients

Providers processing data on our behalf (Art. 28 GDPR): CRM system, hosting and the website platform, telephony. Google and Meta: for statistics and advertising after you accept cookies, and for application forms in ads. The employer you go to work for. Public authorities where the law requires it.

Is it required?

Giving data is voluntary, but without your name and phone number we cannot find you a job or contact you.

Your rights and decisions

Your rights are listed above under «Your rights». No decision about you is made by automated means alone: a recruiter talks to every candidate. We never charge candidates anything.

Cookie policy

Cookies and similar technologies

Cookies are small files the site stores in your browser. Similar technologies (pixels, entries in the browser's storage) work the same way, and we describe them here together with cookies. We sort them into three groups. Essential cookies are always on. Statistics and advertising switch on only if you agree in the cookie window (Art. 6(1)(a) GDPR, Art. 399 of the Polish Electronic Communications Law).

Essential

Keep the site and the application forms working and remember your choice.

  • ph_consent — your choice in the cookie window, 6 months.
  • _314_vid, _314_rd — site visitor counter, up to 2 years.

Statistics

Shows how many people open pages and where they come from. The call-back button also runs in this group.

  • Statistics service: _ga, _ga_* — 2 years.
  • Call-back button: stores the page and time of your first visit in the browser until you clear it, and looks up your IP address to work.

Advertising

We show job ads to people who have visited the site and count applications that come from ads.

  • Advertising services: _gcl_au — 90 days, IDE — about 13 months.
  • Social media advertising pixel: _fbp, fr — 90 days.

If you accept advertising cookies and send an application on the site, we pass your phone number to advertising services in encrypted (hashed) form. This lets them count the application as coming from an ad, even if you saw the ad on one device and applied on another. The number is used only for this count.

Who receives this data

Data from statistics and advertising cookies goes to the providers of those services. Who they are, and when data may be transferred outside the EU, is described in «Who receives the data» and «Transfers outside the EU».

Changing your choice

Click «Cookie settings» at the bottom of any page. You can withdraw consent at any time, and the cookies of that group are deleted. You can also delete cookies in your browser settings. Questions about cookies and data: biuro@profi-hand.com.
